Horse Flow App — Terms of Use.
These terms cover the Horse Flow app: your subscription, the records you keep in it, and what the app is and is not. They sit alongside our main Terms & Conditions rather than replacing them. Please read section 04 — the app records what you observe about your horse, and it is important you understand what that does and does not mean.

01What this covers
These terms apply to the Horse Flow app, however you reach it — in a browser, or installed on the home screen of a phone or tablet.
They are in addition to our Terms & Conditions, our Privacy Policy and our Refund & Cancellation Policy. Where these app terms say something more specific about the app, these apply. Everything else in the main terms still holds — in particular section 12, Education, not veterinary advice, and section 13, Horses are dangerous animals.
By signing in to the app or starting a subscription, you agree to these terms.
02What the app is
The app is a record book. It stores what you tell it about your horses — visits, due dates, costs, training sessions and observations — and it organises that into reminders and reports.
It is a notebook that can do arithmetic and remember dates. It is not a monitor, not a diagnostic tool, not veterinary equipment, and not a substitute for looking at your horse.
In plain English. The app knows only what you type into it. It cannot see your horse, it is not watching, and it does not know anything you have not told it.
03Your account and who may use it
You need a Horse Flow Academy account to use the app. Keep your password to yourself and tell us if you think somebody else has it.
A subscription is for one person. If other people at your yard need their own access to the same records — an assistant, a relief groom, a co-owner — tell us and we will sort out the right arrangement. Sharing one login between several people is not what it is built for, and it makes the record less trustworthy, because nobody can tell afterwards who wrote what.
You are responsible for what is done under your account.
04Health records are not veterinary care
Important — please read this carefully.
The app lets you record a horse’s temperature, heart rate, breathing rate and other observations, and it shows you the usual ranges for an adult horse at rest. This is a place to write things down. It is not a diagnosis, an assessment, or veterinary advice, and it must never be used instead of calling a vet.
The ranges shown are general figures for a healthy adult horse at rest. They are not specific to your horse. Foals, older horses, fit horses, sick horses, hot weather, work, travel, excitement and pain all move these numbers, and a reading inside the usual range does not mean a horse is well.
When the app marks a reading as outside the usual range, it is telling you what the number is relative to a general figure. It is not telling you what is wrong, and it cannot. Only a veterinarian who has examined your horse can do that.
If you are worried about a horse, phone your vet. Do not wait, do not take another reading first, and do not let anything the app shows you delay that call. If the app and your own judgement disagree, trust your judgement and call.
We are horsemen and farriers, not veterinarians. Nothing in the app is veterinary, medical, nutritional or physiotherapeutic advice.
05Reminders are not a safety net
The app can send reminders about routine care — a farrier due, a vaccination coming up. These are a convenience and nothing more.
Reminders depend on things outside our control: your device, its battery and notification settings, your signal, and the notification services run by Apple and Google. A reminder may be late, or may not arrive at all. The intervals themselves are recommendations that you can change, and they are based on general good practice rather than on your particular horse.
Your horse’s care remains your responsibility. Do not rely on the app to tell you when something is due, and never rely on it in an emergency — it does not send emergency alerts, it does not contact anybody on your behalf, and nobody at Horse Flow Academy sees what you record.
06Subscriptions, trials and cancelling
The app is sold as a monthly subscription. What each tier includes is set out on the plans page at the time you subscribe.
Subscriptions renew automatically each month until you cancel. You can cancel at any time from your account on the website, and cancelling stops the next payment — it does not end the current paid period. You keep full access until the period you have paid for runs out.
Where a free trial is offered, we will tell you plainly how long it lasts and what happens at the end of it before you start. Cancel before it ends and you will not be charged.
Under section 44 of the Electronic Communications and Transactions Act you may cancel an electronic transaction within seven days without giving a reason. Our Refund & Cancellation Policy sets out how we handle refunds generally, and nothing here takes away any right you have under the Consumer Protection Act.
Prices may change. If we change the price of a subscription you already hold, we will tell you before it takes effect and you will have the chance to cancel first.
07What happens to your records
We do not delete your records when a subscription ends. They are kept on your account, exactly as you left them. Start a subscription again and everything comes back.
What stops is access. Without a live subscription you cannot open the logbook, add to it or produce reports from it.
If you want your records permanently deleted, ask us and we will delete them. That cannot be undone.
Anything you bought outright — a Compass, a course, the book — stays yours whether or not you have a subscription. It always will.
08Your records are yours
The information you put into the app about your own horses — their details, their history, what you have spent, what you have observed, your training notes and the photographs you add — belongs to you. We do not claim ownership of it and we do not sell it.
We store it so we can give it back to you on whatever device you sign in from, and so the app can do its job. How we handle personal information is set out in our Privacy Policy.
You can produce a report of your records from inside the app at any time, and print it or save it as a PDF. If you ever want a copy in another form, ask us.
09Our intellectual property in the app
The app itself, and everything we put into it, belongs to us. That includes the Horse Flow Compass and its assessment framework, the item banks and every question in them, the scoring and the compass rose, the care intervals and the reasoning we publish alongside them, the reference ranges, the training journal prompts and their wording, the reports, the software, the design, the logo and the name Horse Flow. It is protected by copyright and trade mark law.
Your subscription gives you a personal, non-exclusive, non-transferable, revocable licence to use the app for your own horses, for as long as your subscription lasts. That is all it gives you.
You may not, and may not allow anyone else to:
— copy, reproduce, republish or redistribute any part of the app or its content;
— extract, scrape, download in bulk or reconstruct the Compass items, the care intervals, the reference ranges or the journal prompts, by hand or by any automated means;
— use any of it to build, train or improve a competing product or a machine-learning model;
— resell, sublicense, rent or share your access;
— reverse-engineer or decompile the software, except to the extent the law says you may.
Printing your own reports and records, and showing them to your vet, farrier, insurer or a buyer, is expressly allowed — that is what they are for.
In plain English. Your horse’s records are yours to do as you like with. The instrument that produced them is ours.
10Sharing records with other people
The app lets you send or print a record — a health record for a vet, a full history for a buyer. When you do that, you decide who receives it and what it contains. We are not involved, we do not see it, and what happens to it afterwards is between you and them.
If a record contains someone else’s personal information — a service provider’s name and number, for instance — it is your responsibility to handle that appropriately.
11Offline use and sync
The app is built to work without signal, because stables rarely have any. What you write is saved on your device first and sent to your account when a connection returns.
That means a device that is lost, wiped or replaced before it has synced may lose whatever had not yet been sent. We have built the app to make that as unlikely as we can, but we cannot guarantee it. If something matters a great deal, do not let it live in one place only.
12Availability and changes
We will do our best to keep the app running and to look after what is in it, but we cannot promise it will always be available or always free of faults. It may be unavailable for maintenance, or because of something at our hosting provider, your device or your connection.
We will keep improving it. Features may be added, changed or withdrawn. If we withdraw something you rely on, we will tell you, and if that materially reduces what you are paying for you may cancel.
13Limitation of liability
Section 20 of our main Terms & Conditions applies to the app in full. In addition, and to the fullest extent the law allows:
We are not liable for any loss, injury, illness, death, cost or damage — to you, to any horse, or to anyone else — arising from your use of the app, from anything you recorded in it or failed to record, from a reminder that was late or did not arrive, from a reading you took or interpreted, or from any decision you made in reliance on it.
Nothing in these terms limits our liability for anything that cannot lawfully be limited, and nothing here takes away your rights under the Consumer Protection Act.

If something in the app is wrong, tell us. A record book that has something wrong in it is worse than no record book, and we would far rather hear about it.
